Microsoft Outlook Navigation Made Simple

With over 400 million users, Microsoft Outlook is one of the most frequently used applications today. In order to satisfy customers’ evolving needs, Microsoft has taken steps to make Outlook as easy to navigate as possible with a series of shortcuts that help everyday users maximize their hard work. These customizable navigation and keyboard shortcuts can save users significant amounts of time in the long run. In fact, studies show that using shortcuts can save computer users up to 64 hours every year! Check out the following tips and tricks to save time and make Outlook work for you.

Customizing Your Navigation Options

In order to personalize your navigation settings in Outlook, direct the mouse to the bottom left-hand corner of the screen. There, you will find a series of icons that represent the different pages within the Outlook application, such as your Mail, Calendar, Contacts, Notes and Tasks. These icons are the default setting for Outlook, but they can be modified by clicking on the three dots found to the right of the various graphics. Once you have chosen Navigation Options, select how many icons you want to be visible at one time, as well as the corresponding display order towards the bottom of the screen. Furthermore, to switch your icons to words, uncheck the Compact Navigation option in the middle of the screen. This will allow you to choose between your pages by reading their labels, such as Mail, Calendar, People, Tasks and Notes. These modifications allow users to have all of their navigation options prominently displayed for quick, easy access.

Useful Keyboard Shortcuts in Outlook

Once you have adjusted the Navigation Options to suit your preferences, it’s time to incorporate useful Outlook keyboard shortcuts into your routine. After all, using keyboard shortcuts can save you considerable time in the long run. From the Mailbox, simultaneously press Ctrl + 2 to access your Calendar. To navigate to your Contacts, press Ctrl + 3. Easily check your To-Do list in your Tasks by pressing Ctrl + 4, or your Notes with Ctrl + 5. Finally, to return to your Inbox, press Ctrl + 1. While it may take some practice to get used to Outlook’s keyboard shortcuts, they can be incredibly handy over time. Save yourself delays while navigating to adjacent pages with the help of these simple hacks.
